Get a Microsoft Authenticator enrollment QR code from the security settings for the account you are adding, then scan it using the matching account type.
The app does not generate a universal enrollment image for every Microsoft account. Personal accounts, work or school accounts, and other providers use different setup routes. Start by identifying the account and the sign-in behavior you need, so the QR image connects the correct account rather than merely opening a website.
A personal Microsoft account is managed through its personal security settings. A work or school account is governed by the organization and its permitted authentication methods. The same email application can expose both account types, so Outlook's appearance alone does not determine the enrollment route.
Microsoft Support's account-addition guide explicitly distinguishes personal, work or school, and other accounts. It also separates verification, two-step sign-in, and passwordless use. Decide which task you are performing before copying instructions from a different account branch.
Install the current official Microsoft Authenticator app. Microsoft's guide says the latest version is needed to add an account. Keep an existing legitimate sign-in method available while registering the new one, and follow any organization instructions that apply.
Microsoft Support directs personal-account users to the account Security tab and Manage how I sign in. Choose Add a new way to sign in or verify, then Use an app. Follow the displayed setup choices to reveal the enrollment QR image.
The current guide explains a different-authenticator setup option where applicable and directs the mobile app's add control to Personal account and Scan a QR Code. Follow the live route for your intended method rather than assuming that every personal-account setup screen looks identical.
Scan from the provider's legitimate account page, and complete any required confirmation. Adding an app entry is not independent proof that personal-account two-step verification or passwordless sign-in was enabled. Inspect the account's resulting security configuration and distinguish those features.
Microsoft Support's work or school instructions use the Security info page, Add sign-in method, and Microsoft Authenticator. Continue through the setup prompts to display the enrollment QR image. Your organization may require another verified method before registration can proceed.
If a required method or page is unavailable, contact the organization's administrator. Microsoft documents registration restrictions and Conditional Access policies that can block setup. Refreshing the page or installing a different scanner does not change an administrator's permitted methods.
Open Microsoft Authenticator's add control, choose Work or school account, and use Scan a QR Code. Scan the image from the current setup page and finish the provider's verification test. The account type in the app should match the account supplying the image.
Microsoft's guide distinguishes phone sign-in eligibility from other authentication methods. A successful enrollment should not be described as granting every possible passwordless capability. Follow the exact method your organization offers and the completion message it returns.
Allow camera access if you want to scan, and keep the full image within the app's scan frame. A trusted second screen is useful when the phone running Authenticator is also the device displaying enrollment. Avoid uploading the image to a public QR-decoding service.
Microsoft documents a manual alternative when the camera cannot scan: use the setup page's cannot-scan option and the app's manual-entry route. Use the values the current provider page supplies. Do not substitute a code from an old screenshot or a random image found in search.
The QR code for Microsoft Authenticator reference provides related explanation. Keep the actual enrollment image private. It can contain sensitive account registration information and belongs within the legitimate setup workflow.
A QR image used to download an app is not an account enrollment credential. A QR image that opens a login page may serve another purpose entirely. Inspect where it came from and which security task you initiated before deciding to scan it with Authenticator.
For another provider's compatible code-based enrollment, Microsoft's guide uses Other account. That branch should not be treated as an interchangeable substitute for a managed Microsoft registration. Account type and provider requirements determine whether codes, approvals, or other methods are available.
Apple two-factor authentication is a useful comparison in terminology. Apple Support explains Apple Account verification through trusted devices and phone numbers. It is not ordinary Microsoft Authenticator QR enrollment for an Apple Account.
Complete the account page's verification and confirm that the intended account appears in the app. Use a normal sign-in check while preserving existing access where possible. Approve only a request you initiated, and read what action the account is asking you to authorize.
Maintain provider-specific recovery options. Work or school recovery can depend on administrator policy, while personal-account recovery uses Microsoft's own supported methods. Authenticator App may serve separate compatible code accounts, but it cannot replace organization-controlled Microsoft registration or approval capabilities.
Keep a nonsecret setup note identifying the account type, the registered method, and the date of successful verification. Do not preserve the QR image in a shared document as proof of completion. The outcome can be documented without reproducing the secret.
Before changing phones, consult Microsoft's current guidance for your registered account type. An app restore, an account label, and a fully verified registration are different checkpoints. Confirm the destination can perform the required method before removing access to the original device.
If you help someone with setup, explain which account branch applies before the QR image appears. The account holder should operate the security page and phone without sending you enrollment material. You can guide the process by reading menu names and the completion status.
When an account is managed, keep the organization's instructions available and ask its support team about policy barriers. A consumer guide cannot establish permission for a method that the organization has restricted.
Microsoft Authenticator QR setup starts with the correct account's security page and the matching account type in the app. Use the legitimate current enrollment image, finish verification, and respect organization policy. Keep recovery and device changes account-specific instead of assuming every QR code creates the same sign-in capability.
